1. WHO WE ARE
SFK Multisports Ltd, trading as SFK Sport Group (“SFK”, “we”, “us”), provides children's sports, arts and crafts, holiday camps, HAF and other activity programmes. We are responsible for personal information we collect and use for our own business purposes. Contact our privacy lead at management@sfksportgroup.com.
Registered company number: 10715187.
Registered in: England and Wales.
Registered office: 109 Melrose Street, Leicester, LE4 6FE.
Our website is https://www.sfksportgroup.com.
2. WHAT INFORMATION WE COLLECT
Website enquiries: name, email address, any phone number supplied, the enquiry and relevant correspondence.
Newsletter sign-ups: email address, optional name, marketing preferences and records of consent or other lawful marketing permission.
Bookings: when you follow our website links to BookPebble, the platform collects booking and payment information and information required to run activities, including child and parent/carer details, attendance, emergency contacts, medical conditions, allergies, dietary and support needs where provided.
Staff and contractors: information collected separately for recruitment, payment, safeguarding and service management is addressed in relevant notices and internal policies.
Technical website data: IP address, device/browser details, cookies, analytics and similar information to the extent actually collected by the deployed website and its providers. The precise technologies used may change as the website is updated.
3. WHY WE USE PERSONAL INFORMATION AND OUR LEGAL BASES
Enquiries: to answer questions and take steps requested before a contract; depending on the enquiry, contract or legitimate interests may apply.
Bookings and delivery: to manage places, payments, attendance, communications, safeguarding, accessibility and safe participation; lawful bases may include contract, legal obligations and legitimate interests as appropriate to each activity.
Medical and SEND information: to support safe, inclusive participation, with an appropriate UK GDPR Article 6 basis and an additional Article 9 special-category condition where required. We do not treat acceptance of booking terms as blanket GDPR consent for all uses.
Legal and safeguarding requirements: to protect children, respond to incidents and meet applicable legal obligations.
Marketing: to send newsletters and activity offers only where valid consent or a relevant electronic-marketing exception permits it. Visitors signing up through our website will be offered a clear, optional choice. You can unsubscribe at any time.
4. BOOKPEBBLE BOOKINGS AND PAYMENTS
Our website directs you to BookPebble at https://activities.bookpebble.co.uk to complete bookings and payments. BookPebble is operated by Sprout Care Limited. For personal data processed on SFK's instructions as an activity provider, SFK is generally the controller and BookPebble acts as a processor; BookPebble also has separate controller responsibilities described in its own Privacy Policy.
Parents enter children's registration, medical, allergy and emergency contact information within the BookPebble form. Camp managers use individual accounts with access restricted to relevant registers. SFK removes access when a manager leaves or no longer needs it.
When operationally necessary, SFK may export registers to restricted SFK Google Drive folders or print temporary copies. Those temporary copies are securely deleted or destroyed after camp closure, except where lawful recordkeeping requires preservation. Original BookPebble records are retained in the platform. SFK is establishing a category-specific retention and deletion procedure; these records are not automatically deleted after each camp.
See BookPebble's own published privacy information and applicable booking terms for its separate processing arrangements.
5. EMAIL MARKETING: BREVO AND BOOKPEBBLE
SFK intends to use Brevo to manage newsletter subscriptions and email campaigns. Brevo is integrated with BookPebble. BookPebble offers a marketing opt-out during booking; SFK is seeking confirmation of which contacts are transferred and how marketing preferences and unsubscribes are synchronised. Until confirmed, marketing permissions must be checked before sending campaigns.
We will not assume a booking automatically authorises marketing. We will send electronic marketing only where legally permitted and provide an unsubscribe or opt-out method in each marketing message. We will respect preferences and maintain suppression records as necessary to prevent further unwanted messages.
Marketing sign-up on the SFK website will be separate from the general contact form, with clear information about the messages being requested.
6. WHO WE SHARE INFORMATION WITH
Where necessary and lawful, information may be shared with BookPebble, Brevo, the website hosting and contact-form providers, Google Workspace/Microsoft 365 where used, schools, activity venues, external caterers, local authorities/HAF commissioners, safeguarding bodies, emergency services, insurers, accountants and other relevant service providers. We use appropriate contractual and technical safeguards when suppliers process information on our behalf. We do not sell personal data to advertisers.
7. INTERNATIONAL DATA TRANSFERS
Some providers may process information outside the UK. Where a restricted international transfer occurs, we assess and use applicable adequacy arrangements or other lawful transfer safeguards. Details of particular suppliers and safeguards can be requested using the privacy contact above.
8. HOW LONG WE KEEP INFORMATION
We retain personal information only as long as reasonably necessary for the purpose, subject to legal, safeguarding, tax, insurance, contractual and other recordkeeping requirements. Different record types have different retention periods. Temporary exported or printed camp registers are normally disposed of at camp closure, while original BookPebble records remain pending an approved retention schedule and technical deletion arrangements. Enquiry and marketing records are reviewed under the applicable schedule, and marketing suppression records may be retained as necessary to honour opt-outs. For more detail, contact management@sfksportgroup.com.
9. HOW WE KEEP INFORMATION SAFE
We use access restrictions, individual user accounts, appropriate authentication, secure systems, staff confidentiality obligations and procedures for handling children's medical and safeguarding information. No system can guarantee absolute security; we investigate and respond to suspected personal data breaches in accordance with applicable law.
10. YOUR DATA PROTECTION RIGHTS
Depending on the circumstances and applicable exemptions, you may have rights to access, correct, erase, restrict or transfer your information, object to certain processing and withdraw consent where it is relied upon. To exercise your rights, email management@sfksportgroup.com. We may need to verify your identity and will respond within applicable legal time limits, usually one month.
Requests concerning children's information will be considered in light of the child's rights, competence and safeguarding interests. You can complain to the UK Information Commissioner's Office at https://ico.org.uk.
11. COOKIES AND WEBSITE ANALYTICS
Our website may use strictly necessary technologies and, if enabled, analytics or marketing cookies. Our Cookies Policy provides more information. Non-essential cookies requiring consent should not be enabled before an appropriate choice is obtained.
12. CHILDREN'S PRIVACY AND PHOTOGRAPHS
We take additional care with children's information. Medical, allergy and safeguarding details are shared only with people who need them to keep children safe. Promotional photography or video permissions are handled separately from booking terms, and parents/carers can contact us about use of their child's image.
13. LINKS TO OTHER WEBSITES
Our website may link to BookPebble and third-party services. Their own privacy information applies to processing for which they act independently. We encourage you to review those notices when leaving our website.
14. UPDATES TO THIS NOTICE
We may update this notice when our services, technology, suppliers or legal obligations change. The current version and effective date will appear on our website. Material changes will be communicated where required.
